Website Terms and Conditions

Effective date: {{ effectiveDate }}

These Terms govern your use of the AI Engine Room community platform, including community discussions, contribution badges, the Practitioner Marketplace, and Career Services. Please read them before joining or using the Site.

1. Introduction and acceptance of terms

These Terms and Conditions ("Terms") govern access to and use of the AI Engine Room website, community platform, and all related services, including community discussions, published content, contribution badges, the Practitioner Marketplace, and Career Services (collectively, the "Site" or the "Services"), operated by AI Engine Room ("AI Engine Room," "we," "us," or "our").

By accessing the Site, creating an account, or otherwise using the Services, you ("you," "User," or "Member") agree to be bound by these Terms, our Privacy Policy, and our Community Guidelines, each of which is incorporated by reference. If you do not agree to these Terms, you must not access or use the Site.

AI Engine Room is a community of practice for professionals working at the intersection of AI, transformation, and operational change. It is not a law firm, financial advisory firm, staffing agency, or consulting firm, and nothing on the Site constitutes professional advice of any kind.

2. Eligibility and accounts

You must be at least 18 years old and capable of forming a binding contract to use the Site. By registering, you represent that all information you provide is accurate, current, and complete, and that you will keep it updated.

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us promptly of any unauthorized use of your account.

Membership is single-tier ("Practitioner Member") and may not be transferred, sold, or shared. We reserve the right to refuse, suspend, or terminate any account at our sole discretion, including for violation of these Terms or our Community Guidelines.

3. User-submitted content, disclaimer of responsibility

3.1 What counts as User Content

"User Content" means any text, comments, posts, articles, Field Notes, Framework Drops, Altitude Pairs, discussion replies, profile information, marketplace listings, proposals, portfolios, testimonials, session recordings, resumes/CVs, or any other material that a Member or visitor submits, posts, uploads, or otherwise makes available on or through the Site.

3.2 The Site is a platform, not a publisher or verifier

AI Engine Room provides the Site as a neutral platform that allows Members to share and exchange User Content. We do not create, write, verify, fact-check, edit for accuracy, pre-screen, or endorse User Content before it is posted, except where we choose to apply light-touch moderation for community-standards purposes as described in Section 3.4.

To the fullest extent permitted by law, AI Engine Room disclaims all responsibility and liability for User Content, including its accuracy, completeness, timeliness, legality, decency, quality, or reliability, and any opinions, recommendations, or advice it contains. Any reliance placed on User Content is strictly at your own risk.

3.3 User responsibility and representations

Each User is solely responsible for the User Content they submit. By submitting User Content, you represent and warrant that:

  • you own the content or have all necessary rights, licenses, and permissions to submit it;
  • the content does not infringe, misappropriate, or violate any third party's intellectual property, privacy, publicity, or other legal rights;
  • the content is not false, misleading, defamatory, unlawful, or fraudulent, and does not violate any applicable law or regulation;
  • the content does not contain confidential or proprietary information of any employer or third party that you are not authorized to share; and
  • if the content relates to a client engagement, case study, or example, you have obtained any necessary consent to reference it publicly.

3.4 Moderation and removal rights

We reserve the right, but assume no obligation, to monitor, review, remove, edit, or restrict access to any User Content, at any time and for any reason or no reason, including content we believe violates these Terms, our Community Guidelines, or applicable law, without prior notice and without liability to you.

3.5 License you grant to us

By submitting User Content, you grant AI Engine Room a worldwide, non-exclusive, royalty-free, sublicensable, and transferable license to host, store, reproduce, distribute, publicly display, publicly perform, and adapt such content solely for the purposes of operating, promoting, and improving the Site and the community (for example, featuring a Framework Drop in a newsletter or a Field Note on social media). You retain ownership of your User Content.

3.6 Reporting objectionable content

If you believe any User Content violates these Terms, infringes your rights, or is otherwise objectionable, please report it to contact@theaiengineroom.com. We will review reports at our discretion but do not guarantee any particular outcome or response time.

4. Contribution badges

Contribution badges recognize participation and activity within the community (for example, publishing content, delivering Career Services sessions, or facilitating discussion). Badges are indicators of community activity only. They are not credentials, certifications, professional licenses, or guarantees of a Member's skill, competence, or the quality of their work, and must not be represented as such. AI Engine Room makes no warranty regarding the qualifications of any badge holder.

5. Practitioner Marketplace

5.1 Nature of the Marketplace

The Practitioner Marketplace is a directory that allows eligible Members ("Practitioners") to list AI consulting services and connect with organizations seeking such services ("Clients"). AI Engine Room facilitates introductions and provides optional templates and guidelines; it does not itself provide, supervise, guarantee, or take responsibility for the consulting services delivered.

5.2 No agency, employment, or partnership

AI Engine Room is not a party to any engagement, statement of work, or contract formed between a Practitioner and a Client. Practitioners act as independent contractors, not employees, agents, partners, or joint venturers of AI Engine Room. We assume no liability for the quality, timeliness, legality, safety, or outcome of any services performed, or for any dispute, payment issue, or damage arising between a Practitioner and a Client.

5.3 Listing review and removal

We may review marketplace listings before they go live and may remove any listing that does not meet our community standards, at our sole discretion and without liability. Review of a listing is not an endorsement, verification, or guarantee of the Practitioner's qualifications or the accuracy of the listing.

5.4 Commission and separate agreement

Where a Client first engages a Practitioner through a lead originating on the Site or through AI Engine Room community channels, AI Engine Room charges a commission as set out in the separate Marketplace agreement made available to Practitioners at the time of listing. Payment terms, invoicing, and related logistics are governed by that separate agreement, not by these Terms.

5.5 Assumption of risk

Any engagement between a Practitioner and a Client is undertaken entirely at the parties' own risk. AI Engine Room strongly encourages both parties to use the proposal and contract templates provided and to conduct their own due diligence before entering into any engagement.

6. Career Services

Career Services (including CV/resume review, interview preparation, and job search strategy sessions) are delivered by volunteer community practitioners on a pay-what-you-can basis, with an AI-assisted first pass reviewed by a human volunteer. Career Services are offered as a community benefit and do not constitute professional career counseling, legal, or employment advice, and do not guarantee any interview, job offer, employment outcome, or salary result. AI Engine Room is not responsible for the advice, feedback, or conduct of volunteer practitioners delivering these sessions, or for any decision a User makes in reliance on that feedback. Suggested contributions are voluntary and do not constitute a purchase of guaranteed results.

7. No professional advice

Content on the Site, including community discussion, Framework Drops, Field Notes, webinars, marketplace proposals, and career guidance, reflects the personal views and experience of individual contributors. It is provided for general informational and educational purposes only and does not constitute legal, financial, tax, investment, employment, or other professional advice. You should seek independent professional advice specific to your circumstances before acting or relying on any content found on the Site.

8. Acceptable use and community guidelines

You agree not to use the Site to:

  • post unlawful, defamatory, harassing, hateful, or discriminatory content;
  • infringe any intellectual property, privacy, or other right of a third party;
  • distribute spam, malware, or unauthorized advertising;
  • misrepresent your identity, qualifications, or affiliation;
  • scrape, harvest, or use automated means to extract data from the Site without our prior written consent; or
  • use the Marketplace or Career Services to circumvent applicable fees or commissions after a lead has originated on the Site.

Violation of these Terms or our Community Guidelines may result in content removal, suspension, or termination of your account, at our sole discretion.

9. Intellectual property of the Site

Except for User Content, all content on the Site, including the AI Engine Room name, logo, pillar names, badge system, tagline, design, graphics, and underlying software, is owned by or licensed to AI Engine Room and is protected by intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from Site content without our prior written permission, except as necessary to use the Services as intended.

10. Third-party links and content

The Site may contain links to third-party websites, tools, or resources that are not owned or controlled by AI Engine Room. We do not review, endorse, or assume any responsibility for the content, accuracy, or practices of any third-party site. Your use of third-party sites is at your own risk and subject to their own terms.

11. Copyright complaints

If you believe User Content available on the Site infringes your copyright, please send a written notice to contact@theaiengineroom.com identifying the work claimed to be infringed, the material you claim is infringing and its location on the Site, and your contact information. We will review and may remove or disable access to the identified material at our discretion.

12. Disclaimer of warranties

The Site and all Services, User Content, and materials are provided "as is" and "as available," without warranties of any kind, whether express, implied, or statutory, including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. AI Engine Room does not warrant that the Site will be uninterrupted, secure, or error-free, or that any User Content, marketplace listing, or Career Services advice is accurate, reliable, or suitable for any purpose.

13. Limitation of liability

To the fullest extent permitted by law, AI Engine Room and its founders, contributors, and volunteers will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or any loss of profits, revenue, data, goodwill, or business opportunity, arising out of or related to your use of the Site, any User Content, any Marketplace engagement, or any Career Services session, even if advised of the possibility of such damages. To the extent any liability is not validly disclaimed, AI Engine Room's total aggregate liability for any claim will not exceed the greater of (a) the total amount, if any, you paid to AI Engine Room in the twelve months preceding the claim, or (b) one hundred U.S. dollars (US$100).

Some jurisdictions do not allow the exclusion or limitation of certain damages or warranties, so some of the above limitations may not apply to you.

14. Indemnification

You agree to indemnify, defend, and hold harmless AI Engine Room and its founders, contributors, and volunteers from and against any claims, liabilities, damages, losses, and expenses, including reasonable attorneys' fees, arising out of or in any way connected with: (a) your User Content; (b) your use or misuse of the Site; (c) your violation of these Terms; or (d) any engagement, dispute, or transaction between you and any other Member, Practitioner, or Client arising from the Marketplace or Career Services.

15. Termination

You may stop using the Site or delete your account at any time. We may suspend or terminate your access to the Site, in whole or in part, at any time, with or without notice, for any reason, including a violation of these Terms. Sections that by their nature should survive termination (including Sections 3, 5–7, 9, and 12–14) will survive.

16. Governing law and dispute resolution

These Terms are governed by the laws of {{ governingLaw }}, without regard to its conflict-of-laws principles. Any dispute arising out of or relating to these Terms or the Site will be resolved exclusively in the state or federal courts located in {{ venue }}, and you consent to the personal jurisdiction of those courts.

17. Changes to these Terms

We may modify these Terms from time to time. If we make material changes, we will provide reasonable notice, such as by posting an updated effective date on this page or notifying Members through the Site or by email. Continued use of the Site after changes take effect constitutes acceptance of the revised Terms.

18. Severability and waiver

If any provision of these Terms is found unenforceable, the remaining provisions will remain in full force and effect, and the unenforceable provision will be modified to the minimum extent necessary to make it enforceable. Our failure to enforce any right or provision will not be deemed a waiver of that right or provision.

19. Entire agreement

These Terms, together with our Privacy Policy and Community Guidelines, constitute the entire agreement between you and AI Engine Room regarding the Site and supersede any prior agreements.
